Gem is a custom version of Gemini that you build once and use forever. Instead of typing the same long context, the same rules, and the same background info every single time you start a chat, you package all of that into a Gem.
In this lesson, I’m going to walk you through everything from the basics of setting one up to the most powerful workflows that will change how you work.

In simple terms? A Gem is a custom instruction wrapper for Gemini.
If you’ve used Custom GPTs in ChatGPT or Projects in Claude, you already know the vibe. But Gemini brings something different to the party.
A Gem allows you to give the AI a specific persona, a specific set of instructions, and this is up to 10 reference files (in the Knowledge feature) that it will always remember when you talk to it.
Why does this matter? Because Gemini has a massive context window (1 million tokens). This means you aren't just giving it a one-page PDF. You can feed it entire books, massive coding repositories, or months of meeting notes, and it can actually process them.
II. Key Features You Need to Know

Before we build one, here is what you are working with:
Living Document: This is huge. Unlike other platforms where you upload a file once and it becomes static (and quickly outdated), Gems can connect directly to your Google Drive. When you update a Google Doc or Sheet, your Gem sees that update instantly. It maintains a live link to your single source of truth, so your AI assistant never gives you last month's answers.
You Become an Orchestrator: Stop thinking of yourself as just chatting with a bot. Gems turn you into the manager of a team of specialists. You can build a "Senior Coder," a "Marketing Strategist," and a "Data Analyst," each with their own distinct persona and instructions.
Clone Your Best Ideas for Your Team: Once you build a killer Gem that knows your style guide perfectly, you can share it with your team just like a Google Doc. This breaks down knowledge silos instantly. Instead of everyone struggling to write on-brand, they just use the tool you built. It scales your best expertise across the entire company with one click.
The 1 Million Token Advantage: Unlike other AIs that might "forget" the middle of a long document, Gemini is exceptionally good at holding vast amounts of info in its head at once.
III. How to Build Your First Gem (Step-by-Step)
Ready to build? You’ll need a Gemini Advanced subscription (or a Workspace add-on) for this. Here is the playbook:
Step 1: Gem Manager
Go to the Gemini website. On the left-hand side (or sometimes near the top), look for "Explore Gems." This is your command center. If you don't know where to start, I highly recommend playing around with the premade Gems first. This helps you understand how they operate before we dive into building your own custom workflow. Since these Gems are widely used, they’ve already been tested and improved.

Step 2: Setup

Now, if you want a Gem that feels like it was custom-coded just for you, good news: it’s surprisingly simple. I’ve created hundreds of these, and the trick is never about being complicated, it’s about being clear. Let’s walk through exactly how to get your first one set up.
You’ll see a simple interface.
Name: Give it a catchy name (e.g., "Social Media Pro" or "Study Buddy") (it’s your style, no judgment here 🤭). In this guide, I’ll do my "YouTube Description Specialist" Gem
Description: Describe your Gem and explain what it does (its purpose)
Instructions: This is the brain. Tell it exactly what to do.
Before we click any buttons, you need to understand the core rule: AI outputs are only as good as the input you give them.
To get a consistent, high-quality result every single time, we are going to use a specific 4-part formula recommended by Gemini instructions:
Persona: Who is the AI?
Task: What exactly is it doing?
Context: What background info does it need?
Format: How exactly should the result look?

You can take mine as reference:
Persona: "You are an expert Marketing Copywriter and YouTube SEO Specialist. Your tone is knowledgeable, encouraging, and slightly informal, like a helpful mentor speaking. You are writing for aspiring entrepreneurs who feel overwhelmed by online business."
Task: "Create a keyword-rich YouTube video description. The primary goal is to drive clicks to the link in description by highlighting the value of the call to action (CTA)”
Context: "I will provide you with the Main Keyword (you just have to ask me), Video Title (you just have to ask me), and Full Transcript (you just have to ask me). You must use these to craft the description."
Format: "Just ask me for the CTA link that is to be promoted. Here is an example of the format to model your description on. Always start and end with a CTA link. Focus on being keyword rich- related to the title and description: [your model format] Include a summary of what they will learn, bullet points with timestamps, and relevant hashtags. Do not use hype-y sales language or make income guarantees."

Knowledge: Click the “+” button in the Knowledge section. Here, you can upload files directly from your device, or add ones from your Google Drive. If you share your Gem, the titles of the Gem’s attached files will be visible. You’ll be prompted separately to share the attached file’s contents.

Example: If you are building a Brand Voice Gem, upload your company's brand guidelines PDF and a few examples of your best-performing blog posts.
Step 4: Test and Save

On the right side, there is a preview window. Type a test prompt to make sure it’s acting the way you want.
Once you're happy, hit Save → Start Chat.

IV. Gemini Gems vs. Custom GPTs: What’s the Difference?
I get asked this a lot. "I already use ChatGPT, why bother with Gems?"
I just want to make this straight for you

The Ecosystem Win: If your life lives in Google Docs, Sheets, and Drive, Gems are superior. The integration is seamless because it's all Google.
The Context Window: As mentioned, Gemini’s context window is huge. For massive projects (like analyzing a 500-page legal document or a whole codebase), Gemini Gems often hallucinate less and remember more than a standard GPT.
Simplicity vs. Depth: Custom GPTs currently have a bit more depth (like Actions/API connections). Gems feel a bit more streamlined - better for quick, specific tasks, but maybe less capable of running a complex automated empire ... yet.
V. Advanced Strategy: The Memory Card Technique
Okay, this is the hidden gem I found in the Reddit community, and it is brilliant.
We all know AI has a bad memory. Even with "memory" features, they often forget details from three weeks ago.
Here how I fix it: Create a Memory Card document.
Create a Google Doc: Call it [Gem Name] Memory Card.
Dump Everything In: Write down everything you want this Gem to know about you. Your preferences, your writing style, your project history, specific rules you hate breaking.
Attach it to the Gem: Upload this Doc as a knowledge file in your Gem settings.
The Loop: At the end of a long chat session where you taught the AI something new, tell the Gem: "Please rewrite the Memory Card document to include the new things we learned today."
Update: Copy that new text, paste it back into your Google Doc.
Since the Gem is linked to that Doc, the next time you open it, it has learned everything from the last session. It’s a manual way to give your AI a photographic memory.
VI. Automate your Start-up Workflow with these 3 Gems Set Up
In this lesson, I will walk you through this workflow that can help you with your start-up company process. If you are running a startup or managing a team, you know that half your week gets eaten up by repetitive tasks: writing proposals, planning projects, or just trying to get everyone on the same page.
I’ve been experimenting with Gemini Gems, and honestly, they can save you at least 20 hours a week.
1. The Proposal Generator Gem
Stop writing proposals from scratch.
This is the biggest time-saver. We are going to build a Gem that takes a raw transcript from a sales call and instantly turns it into a winning proposal.
Name it: "Proposal Generator".
In the instructions box, follow the specific 4-part formula, and paste this core command:
The user will enter a transcript from a sales call. You will create a proposal that matches the tone, structure, and format of the examples in your knowledge base.Knowledge: This is the secret sauce. You need to upload examples of your best proposals, the ones that actually closed big deals. Upload these text files or PDFs into the Gem’s knowledge base.

Just dump a messy transcript from a client call into the chat. The Gem will analyze the client's needs and spit out a perfectly formatted proposal based on your winning template. You can even copy the text into a tool like Gamma or Kimi K2 Slides to generate slides instantly!
2. The Project Planner Gem ( with Gantt Chart)
Turn a brain-dump into a timeline.
Once you win the deal, you need to deliver. This Gem turns a rough project idea into a structured Gantt chart file that you can use immediately.
Name it: "Gantt Chart Creator".
Instructions: Paste this core command:
The user will give you details on a project with deadlines. You will generate a Gantt chart file formatted exactly like the example in your knowledge base.Go to a simple tool like OnlineGantt.com, create a blank project, and export the file.

Upload this file to your Gem. This teaches Gemini the exact code structure it needs to output.

How to Use It: Once all is set up. Tell the Gem: "We just signed the Acme project. We need to launch by June 1st. Map out the milestones."

It will not just list dates; it will write the code for a Gantt chart file. You can copy that code, save it as a .gant file, and import it straight into your project management tool or OnlineGantt.com. No manual data entry required. Your milestones project is done in minutes!

3. The Step-by-Step Process Gem
Automate complex workflows.
Sometimes you don't need a document; you need a guide. This Gem acts as a consultant that walks you through a complex process step-by-step.
First, use regular Gemini to help you outline your process. Ask it:
Please create a step-by step process or quarterly planning. Here is a little bit more about my situation [your experience in this area or any other appropriate background information]. Please [specify desired level of detail in the steps]Refine the list until it looks right

Now, ask Gemini to turn that list into a prompt sequence.
Convert this process into a series of prompts where you (the AI) guide me through each step one by one. Don't just dump the list; ask me questions and help me brainstorm at each stage.Create a new Gem called "Quarterly Planning Coach". Paste the prompt sequence you just generated into the instructions.
When your Gem is created, type "Let's start planning". The Gem will act like a facilitator. It will ask: "Okay, let's look at Q1 goals. What were your targets?" It waits for your answer, challenges your assumptions, and then moves you to the next step. It’s like having a strategy consultant in your pocket!

4. The Game Changer: Sharing Your Gems
This is a brand new feature that makes this whole system scalable.
Once you build these Gems, you can share them with your team via a link.
Give the Proposal Gem to your sales team so everyone writes consistent proposals.
Give the Project Planner Gem to your PMs so timelines are standardized.
Give the Planning Coach Gem to your department heads for their own reviews.
You don't need to buy expensive software seats for everyone. You just build the tool once, share the link, and suddenly your whole startup is running on the same high-quality operating system.
