πŸ† Gemini Has a New AI Super App to Crush Claude Cowork with These Powerful Features

In this guide, you'll discover the most useful Gemini features, practical ways to put them to work, and step-by-step tips to get better results without complicated setups.

TL;DR

Gemini Desktop lets you complete tasks, analyze files, connect apps, and automate recurring work directly from your computer. It brings Gemini Tasks, Skills, Connectors, and scheduling into one workspace.

You can use Gemini Tasks to research topics, process business documents, and generate reports. In our test, Gemini analyzed seven business files and produced a report comparing revenue, expenses, and marketing performance.

Gemini Skills let you save instructions for repeated work. We created an Email Inbox Manager Skill that organized real emails by priority and identified messages needing attention.

You can also schedule recurring workflows, such as a weekly marketing content planner, without manually submitting the same request.

Key points

  • Tasks: Analyze multiple files and generate business reports.

  • Skills: Save reusable workflows for email management and other repetitive tasks.

  • Automation: Schedule weekly content plans directly in Gemini Desktop.

I. Getting Started with Gemini Desktop

Before you start giving Gemini Desktop tasks, you'll need to install the app and get familiar with its interface. It's pretty straightforward.

1. Install Gemini Desktop

First, you can visit the Gemini Desktop download page and choose the version for your computer.

Once it's installed, you can sign in with your Google account. If you've used Gemini before, you can continue with the same account.

When you launch Gemini Desktop, you'll see a familiar interface with a prompt box in the center and a sidebar for navigation. You don't need to worry about any complicated setup just yet.

2. Explore the Gemini Desktop Interface

The first thing you'll notice is the Chat and Task switch at the top of the prompt box.

A few other sections in the sidebar are worth knowing about:

  • Customize: where you manage Gemini Skills and Connectors

  • Scheduled: where you view and manage your scheduled tasks

  • Settings: where you adjust app preferences and permissions

3. Chat vs. Task: When to Use Each

Say you have a folder full of sales reports and want to understand how your business performed last month.

  • If you just want advice on how to analyze the data, use Chat.

  • If you want Gemini to actually read those files, summarize the numbers, and build a new report, use Task.

That's what makes Gemini Desktop interesting. You're no longer only asking Gemini how to do something. You're letting it handle the work.

II. Use Gemini Desktop Tasks to Get Work Done

This is where Gemini Desktop gets genuinely useful. Instead of only answering questions, Gemini can handle real work, from analyzing documents to creating reports, right on your computer.

Heads up: Tasks needs a Google AI Pro or Ultra subscription and a personal account. You can have up to 15 tasks running at a given time, and a new scheduled run won't start while 15 are already going.

1. Create Your First Gemini Task

To get started, you can select Task at the top of the prompt box. Then, just describe what you want Gemini to do and what the final result should look like.

For example, let's say you're planning a marketing campaign and need some help researching your market and putting together a strategy.

Act as a senior marketing strategist.

I run a small business and want to develop a 30-day marketing plan.

Your task:
1. Research current marketing trends relevant to my business.
2. Identify my target audience and their biggest problems.
3. Recommend three marketing channels worth prioritizing.
4. Create a 30-day content calendar with specific topics and content formats.
5. Suggest KPIs to measure performance.

Before starting, ask me for any essential business information you need.

Deliver the final result as a structured marketing plan with an actionable calendar.

Clearly separate researched information from your own recommendations.

Once you submit it, Gemini will ask a few questions about your business: what you sell, who your customers are, what you want to achieve in 30 days. That's a good sign.

It's gathering enough context to build a plan that fits your actual business.

2. Let Gemini Access and Manage Your Local Files

This is one of the most useful Gemini Desktop features, especially when you're working with lots of documents.

Gemini can read files from a folder you've approved, analyze the information, and save new reports right to your computer. Since you're in Task mode, here's how to bring in your business files:

  1. In the prompt box, click the + button and select Upload files.

  2. Choose the ZIP file with your business documents.

  3. Enter your instructions and submit the task.

In our test, Gemini automatically unzipped the file and started examining the documents inside.

For this example, we prepared a folder with sales reports, expenses, and marketing data, then asked Gemini to create a monthly business report. Here's the prompt we used:

Act as a business analyst.

Analyze the business files in the folder I've connected to this task.

Your objectives:

1. Review all relevant sales, expense, and marketing reports.

2. Calculate:
   - Total revenue
   - Total expenses
   - Net profit, if the available data supports it
   - Revenue growth compared with the previous
month, if previous data is available
   - Marketing performance by channel

3. Identify:
   - The strongest business results
   - Areas where performance declined
   - Unusual changes or potential problems
   - Opportunities for improvement

4. Create a professional monthly business
   report containing:
   - Executive summary
   - Key performance metrics
   - Financial overview
   - Marketing performance
   - Recommended next actions

Use tables where they make the results easier to understand.

Important rules:
- Only use information found in the folder.
- Never invent missing numbers.
- Clearly label missing or incomplete data.
- Reference the source files behind
  important findings.
- Separate verified results from suggestions.

Save the completed report as a new file named Monthly_Business_Report in the connected folder.

Don't modify or delete any original files.

Gemini went through all 7 files and built a detailed report.

What caught our attention: September's sales had increased, but higher refunds and marketing costs were actually hurting profitability.

generate-a-monthly-business-report-with-gemini-desktop

It put together a table comparing August and September across revenue, completed orders, refunds, and other key metrics, and even broke down expenses by category: product costs, advertising, payroll, and shipping.

Gemini said it had saved the report as Monthly_Business_Report.md in its workspace. You can review the results directly in Gemini Desktop and save a copy if a download option is available.

III. Connect Gemini Desktop to Other Apps

Beyond working with your files, Gemini Desktop can connect to apps you already use through Gemini Connectors. Handy if you're constantly switching between platforms to get things done.

1. What Are Gemini Connectors?

Gemini Connectors let Gemini pull information from, and take certain actions in, apps you already use, so you get more done without hopping between platforms.

Google services you can connect:

  • Google Workspace: Calendar, Docs, Drive, Gmail, Keep, Sheets, Slides, and Google Tasks. Gemini can schedule events, draft or reply to emails, create and edit documents, and manage tasks.

  • Other Google services: Contacts, Photos, Gemini Notebook (formerly NotebookLM), YouTube, Maps, Flights, Hotels, and Finance.

Third-party apps: Several third-party and custom apps can also connect, including tools like Canva, Dropbox, and Wix. Availability varies by region and account type.

  1. Click Customize in the left sidebar.

  2. Select the Connectors tab to see available apps.

  3. Click the + icon next to the app you want and follow the connection steps.

Once you've connected an app, you can ask Gemini to use it for supported tasks. Just keep in mind that what Gemini can do depends on each connector and the permissions you've granted.

2. What You Can Do Once Connected

Take Gemini Notebook (Google's research tool, formerly NotebookLM) as an example. Once connected, you can ask Gemini to:

  • Find information from your existing notebooks

  • Summarize important research findings

  • Use that research to develop a strategy

The best part: you're working with information you've already saved, so there's no need to copy everything into Gemini Desktop. Really useful if you regularly deal with reports or market research.

IV. Create Reusable Workflows With Gemini Skills

If you keep typing the same prompt for the same task, Gemini Skills can save you a lot of time. Set up a workflow once and reuse it whenever you need it.

what-are-gemini-skills

Think of Skills as saved instructions that tell Gemini exactly how you want a specific task handled: which tools to use, what rules to follow, how to format the output.

You can create Skills to:

  • Organize emails and flag messages that need a reply

  • Analyze business reports against specific criteria

  • Plan your weekly content

  • Review documents and spot missing information

One nice thing: Skills work with or without a Google AI subscription, and you can use them in regular chats too, not just Tasks.

Let's build a Skill called Email Inbox Manager to organize emails and prioritize the ones that need attention.

Go to Customize β†’ Skills in Gemini Desktop to see your existing Skills. You can also ask Gemini to create a new one right from the prompt box:

create-a-custom-gemini-skill-with-gemini
Create a new skill called "Email Inbox Manager".

Whenever I ask you to manage my inbox, follow this workflow:

1. Review emails currently in my inbox.

2. Classify each email into:
   - Urgent: Requires immediate attention.
   - Important: Needs a response or action.
   - Newsletter: Informational content.
   - Low Priority: No immediate action needed.

3. Identify emails that need a reply and explain why they're important.

4. Prepare a daily inbox summary containing:
   - Urgent emails
   - Important follow-ups
   - Suggested next actions

Rules:
- Never delete emails.
- Never send replies without my approval.
- Never archive or move emails without permission.
- Don't invent missing information.
- Keep the summary short and actionable.

Save this workflow as a reusable skill.

This gives Gemini clear rules for sorting emails, formatting the results, and knowing when to ask for your approval. Once it creates the Skill, check the Skills section to confirm it saved.

Now you don't have to paste that long prompt every time. Just type:

@Email Inbox Manager

Review my current inbox and give me a prioritized summary
of emails that need my attention today.

When we ran it, Gemini went through the inbox and built a Daily Inbox Summary using the saved rules.

how-to-use-gemini-skills-again

It sorted emails into Urgent and Important Follow-Ups, showing who sent each one, what it was about, and why it needed attention, with a brief explanation for each.

If your priorities change, you can update the Skill's rules anytime. And unlike a prompt saved in a chat, Skills persist across sessions.

V. Automate Your Work With Gemini Desktop

Now that you know how to assign work with Gemini Tasks and save workflows with Gemini Skills, there's still one small problem. If you have to keep reminding Gemini to run the same task every day, you're still doing part of the work yourself.

That's where Gemini Automation comes in. You can schedule recurring tasks and let Gemini handle them automatically.

1. Turn Repetitive Tasks Into Automated Workflows

Here's an example. Say you want a daily brief of the most important AI news delivered at 8 AM every weekday. Instead of asking each morning, set it up once:

Create a recurring task called "Daily AI News Brief".

Schedule:
- Every weekday at 8:00 AM.
- Use my local time zone.

Each time the task runs:

1. Research important AI news published
   within the last 24 hours.

2. Focus on:
   - Major AI product launches
   - New features and updates
   - Important AI industry developments

3. Select the five most relevant stories.

4. For each story, include:
   - A short headline
   - A simple summary
   - Why it matters
   - A link to the original source

Rules:
- Don't repeat stories from previous reports
  unless there's a meaningful update.
- Don't invent news or sources.
- Prioritize official announcements
  and reliable reporting.
- Keep the report concise and easy to scan.

Deliver the report in Gemini whenever the task runs.

Ask for confirmation before activating the schedule.

Once you submit it, Gemini picks up the schedule and asks for your confirmation before activating.

turn-repetitive-tasks-into-automated-workflows

Before you let it run, you can review and adjust the details:

  • Plan: what Gemini will do each time

  • Frequency: daily, weekly, and so on

  • Day and time: when it runs

  • End date: never, or a specific date

manage-your-scheduled-tasks

You'll find all your scheduled workflows under Scheduled in the sidebar, easy to manage or update later.

One thing worth knowing: a schedule won't run while Task mode is off, your device is off, or you already have 15 tasks running, and runs draw on your plan's usage limits. So check the first completed run to confirm everything works before you rely on it.

VI. Choose the Right Gemini Model

Gemini Desktop lets you switch between Argon and Flash depending on what you're working on. Here's how they compare:

Feature

Flash-Lite on Free, Flash on Plus and above

For simple jobs like writing emails or brainstorming, stick with Flash.

It's faster and lighter on your usage limits. If you're analyzing business reports, working on complex agent workflows, or doing anything that needs deep reasoning, Argon is worth it.

You can switch between them using the model selector in the prompt box.

Conclusion

Honestly? Google is stepping up its game with Gemini Desktop. Claude and ChatGPT Work now have a serious competitor to watch.

What impressed me most was watching Gemini analyze real business files, organize an inbox with a reusable Skill, and schedule an automated workflow, all from the same app.

And we've only scratched the surface.

If you're just getting started, try one task you normally handle yourself. Give Gemini clear instructions, see how it performs, and build workflows around what works. The more specific your instructions, the better the results.

Who knows? Your next favorite coworker might already be sitting on your desktop.
