Do you ever feel like other people are using AI for cool things, but you only use it to write short emails? If you want to know a real, practical way to use AI to work better, this article is for you.

This article will break everything down. We'll start with the right way to think about AI and then show you clear steps to use it in your job. We will look at how to use AI to design products and make marketing content.

Understanding "Work": The Basic Idea

Before we talk about tools, we need to understand what "work" really means. This simple idea will help you see where AI can help you.

Work always happens in three stages:

understanding-work

Input → Processing → Output

Think about it this way:

  • A carpenter has wood as the input. They use saws, tools, and their skills to process it. The table and chair are the output.

  • A writer has ideas and information as the input. They use their brain and computer to process it (organize, write, edit). The finished article is the output.

The goal is always the same: the output must be more valuable than the input.

This is the important part: AI tools can help you at all three stages.

  • It helps you get better input (example: writing down what you say).

  • It helps you process faster (example: checking data, writing a first draft).

  • It helps you make a better output (example: making presentation slides).

The Full AI Tool Kit

A good tool kit means all the tools work well together. Here are some examples of tools you can check out, sorted by their job:

Input Tools (To Save Your Ideas)

grain
  • AI Voice Memo Tool (like VoicePal): A voice recording app that also has AI chat. It helps turn your messy spoken ideas into organized text.

  • Meeting Recorder (like Grain): Automatically records and writes down everything said in Zoom or Google Meet calls.

  • Dictation Tool (like SuperWhisper): A tool for Mac that lets you talk instead of type. It's very useful.

Processing Hub (The "Brain")

claude

Claude: This is the main "brain" for all your work. It is a very strong AI assistant for processing information, writing, and planning.

Output Tools (To Make Finished Products)

  • Google Docs: For writing documents and reports.

  • FireCut: A plugin (an add-on tool) that helps edit videos faster.

  • Notion: A workspace for managing projects and taking notes.

  • Gamma: Automatically makes beautiful presentation slides from text.

Setting Up Your AI for Full Power

Before you start, it's important to "teach" your AI about you. If you use a tool like Claude, look for these features:

  • Memory: This is a great feature. It lets the AI remember your past conversations. You don't need to explain "who I am" or "what my project is" every time you log in.

  • File Uploads and Analysis: Make sure you can upload PDF, CSV, and text files. This is very important for letting the AI check data for you.

Important Tip: If your AI has a "Projects" feature, use it!

important-tip
  • Make one project called "My Personal Blog."

  • Make another project called "New Business Plan."

This way, the AI keeps all related files and information in the right place. It won't get confused between your different jobs.

Workflow 1: Using AI To Design A Product (Even If You Can't Code)

This is where things get real. You can use AI to design an app or a new feature without knowing how to write code. Let's imagine you want to make a simple budget app for students.

Instead of simple steps, let's treat the AI as a Product Manager. It will help us go from an idea to a model.

Let's imagine we want to make a simple budget app for students called 'Student Money'.

Step 1: Define The User (User Persona)

Before we design, we must know who we are designing for.

Detailed Prompt (Command 1):

detailed-prompt-1
"Please act as a User Researcher expert. I want to make a budget app for university students in Vietnam, aged 18-22.

Based on this age group and context, please create a detailed 'User Persona' (a profile of our user). Include:
Demographics: A name, age, what year in university.

Main Goal: What do they want with their money? (Example: save money for a gift, for a trip).

Pain Points: What are their problems? (Example: 'always broke at the end of the month', 'don't know where my money goes', 'feel lazy about writing down every expense').

Behavior: What apps do they usually use? Are they patient?"

Step 2: Design The User's Steps (User Flow)

After the AI gives us a User Persona (let's call him "An," a student who is 'lazy about tracking money'), we will design the main feature.

Detailed Prompt (Command 2):

detailed-prompt-2
"Great. Based on our user 'An' (who is lazy and not patient), his biggest problem is 'forgetting to add an expense.'

Please design a 'User Flow' (the user's steps) for the main job: 'Adding an expense.'

Requirement: This flow must be very, very easy and remove any problems (reduce friction). The goal is to finish this job in under 5 seconds.

Suggestion: Should we use a widget on the home screen? Should we use AI to guess the category from the item's name? (Example: user types 'Phuc Long' -> AI automatically picks 'Coffee'). Please outline the steps."

Step 3: Ask For A Simple Model (Prototype)

Now let's turn those steps into something we can see.

Detailed Prompt (Command 3):

detailed-prompt-3
"Wonderful. Now, please create a clickable prototype (a simple model) for that 5-second User Flow.

I want to see these screens clearly:
The Home screen with a big '+' button.

The Input screen (after tapping '+') - it should only show the number keyboard and a small box to type the name of the item.

The 'Done' state (example: a green check mark) and then it goes back to the Home screen automatically.

Please make the design look modern, simple, and friendly for students."

Step 4: Test And Fix (Iterate)

The AI has made a model. Now, act like a user and find problems.

Detailed Prompt (Command 4):

detailed-prompt-4
"I just looked at the prototype. It's pretty good, but I see one problem: If a user types 'My friend A borrowed money,' your AI might not know what category to use.

Please solve this. Should we add a simple tab called 'Loans / Debt'? Or will this make the app too hard to use?

Please analyze the good things and bad things about adding this feature. Suggest the best solution to keep the app simple for 'An'."

Main Lesson: You don't need to know how to code or design. You just need to describe what you want very clearly. AI can help you turn your idea into something you can see and touch.

Workflow 2: Using AI To Create Social Media Content

The hardest part of making content is thinking of ideas. AI can help with this, but you must keep your own "voice."

Step 1: Get "Hook" Ideas Based On Feelings

We don't need general ideas. We need "hooks" (the first 3 seconds of a video) that connect with our user 'An'.

Detailed Prompt (Command 1):

detailed-prompt-for-workflow-2
"Please act as a Social Media Marketing Strategist. You are an expert in short videos for Gen Z.

Our target user is 'An' (a student, lazy about tracking, often broke at the end of the month).

Please give me 20 'hook ideas' for a 30-second video.

Sort these hooks by these psychological (feeling-based) triggers:

Pain Point: Talk directly about their problem (Example: 'It's the 25th of the month and your wallet is empty...').

Curiosity: Make them ask 'what?' (Example: '3 money mistakes every student makes').

Quick Win: Give a fast solution (Example: 'How to save 200k this week without trying')."

Step 2: Filter Ideas With Your Feeling

The AI will give you 20 ideas. Most of them will be just "okay." But maybe you will see 3-5 ideas that make you think, "Oh, that's good!"

This is the important step: You are the filter. Do not use everything the AI gives you. Only pick the ideas that you feel are interesting.

filter-ideas-with-your-feeling

For example, you might like these ideas:

  • Hook #14: "The 2-Minute Money Workout"

  • Hook #15: "Stop Bleeding Money Today"

Step 3: Create A Detailed Script (With Visuals)

When you choose the strongest hook, ask the AI to write a full script. A good script has words and visual (seeing) instructions.

Detailed Prompt:

create-a-detailed-script
"I like this hook: 'This is why you are always broke by the 20th of the month.'

Please write a full 30-second TikTok/Reels video script for me.

The script format must be a table with 3 columns:

| Time (Sec) | Words (What to say) | Visual (What to show) |

|---|---|---|

| 0-3 | (Say fast, strong) 'This is WHY you are always broke by the 20th of the month.' | Close-up shot of your face, looking serious. The words 'BROKE AGAIN?' appear on screen. |

| 4-10 | 'It's not because you buy expensive things...' | A clip of someone shaking their head 'no' at a designer bag. |

| 11-17 | '...it's because of the 100 tiny things you buy and forget.' | Fast clips of: buying bubble tea, a bottle of water, a snack. |

| 18-24 | 'People call this 'death by a thousand cuts.' Sounds scary, right?' | A shot of an empty wallet. |

| 25-30 | 'Tracking them is easy. It only takes 5 seconds with 'Student Money'. Get it at the link in bio.' | A screen recording of the 'Student Money' app, adding an expense very quickly. |"

Step 4: Make the Content Yourself (Most Important!)

This is the step many people do wrong. Do not copy and paste the AI's script.

Instead, read the AI's script to get the idea and the structure. Then, say it or write it yourself using your own words and your own tone. If you are funny, add jokes. If you are serious, stay serious.

Your content must feel like it came from you.

Main Lesson: Use AI for the hardest part (getting ideas and structure), but always keep your real voice for the final content.

Final Thoughts (Part 1) And What's Next

In Part 1, we learned that AI is not just a simple tool. By setting up a good system (Input → Processing → Output) and using detailed commands, you can turn AI into a partner to help you design products and a strategist to help you with marketing.

We used AI to create a product from an idea and made a plan to tell people about it.

But this is just the beginning. In Part 2, we will look at more advanced workflows: how to use AI to "read" and understand feedback from thousands of customers at the same time, and how to use that knowledge to build a complete online course from start to finish.
